The project
CONTACT’s community work relies on preparation behind the scenes: assembling workshop materials, reviewing funding opportunities, keeping public information current, and coordinating outreach. VenoxAI implemented six workflows to support these administrative tasks.
The workflows organize approved information, prepare drafts, and flag details for review. Staff retain control of program content, applications, communications, and updates to public resources.
Our approach
Start with approved materials
Bring existing program content, organization descriptions, recruitment information, and public sources into the preparation process, so staff can build on information they have already reviewed.
Make the review easier
Assemble source-linked summaries, checklists, and drafts. Flag missing logistics, conflicting details, and information that needs confirmation before it is used.
Keep people in charge
Educators and staff approve the materials and decisions. The project supports administration; direct support, referrals, and sensitive service records stay with the people responsible for them.

Six implemented workflows support the preparation and upkeep of staff-approved materials, from community programs to funding research and public communications.

- Workshop and outreach preparation: assemble session outlines, presentation sections, handouts, promotional descriptions, organizer emails, and follow-up resources from approved program materials. Flag missing logistics for educators to review.
- Grant research and application preparation: organize opportunities from approved funder websites into source-linked summaries of eligibility, deadlines, restrictions, and required documents. Prepare checklists and reusable draft sections for staff-selected applications.
- Sponsorship research and proposals: prepare public company research briefs, introduction drafts, proposals, and follow-up templates for staff-selected businesses using CONTACT’s approved sponsorship packages.
- Volunteer recruitment information: turn approved requirements and training information into announcements, invitations, application instructions, FAQs, and response templates. Flag materials that need updates when requirements change.
- Public resource-directory maintenance: check approved provider websites for broken links and changes to contact details, hours, descriptions, and eligibility. Assemble a source-linked review report so staff can confirm updates and advocates can verify referrals.
- Campaign and website consistency: adapt one approved announcement into website, newsletter, social, and flyer drafts. Check dates and registration links, and prepare an expiration checklist for staff review.
