The project
SV Smile32 is a dental clinic in Nizamabad, Telangana. VenoxAI implemented administrative workflows to help the team organize appointment requests, keep track of laboratory updates, and prepare routine back-office work.
The systems bring approved information into review queues, prepare drafts, and flag missing details. Clinic staff confirm bookings, approve communications, and make operational decisions; dental professionals remain responsible for patient care.
Our approach
Bring routine work into view
Organize approved appointment information, laboratory updates, form-completion records, and supply documents into clear queues, so staff can see what needs attention.
Prepare the next step
Draft logistical replies, follow-ups, checklists, and worksheets from the clinic’s approved information. Flag missing details and conflicting records for the team to resolve.
Keep staff in control
Support the administrative work around care. Staff review drafts and approve changes; the systems do not make diagnoses, recommend treatments, or confirm appointments on their own.
Clinic administration workflows
Seven implemented workflows support the clinic’s day-to-day administration, from the first appointment inquiry to follow-ups, supplies, and approved public information.
Implemented workflows
- Appointment coordination: organize inquiries, capture preferred appointment times and callback details, and prepare replies to logistical questions. Staff verify availability and confirm bookings.
- Reminders and rescheduling: prepare reminders and rescheduling queues from approved schedules and dentist-set follow-up dates, with staff approving appointment changes.
- Dental-lab follow-ups: bring laboratory updates, recorded delivery commitments, and outstanding clarifications into one queue. Prepare follow-up drafts while the clinic confirms receipt and treatment readiness.
- Administrative intake checks: flag missing administrative details and incomplete forms, then prepare reminders through the clinic’s existing form process. These checks concern completion, not clinical suitability.
- Supplies and invoice support: organize non-drug consumable records, flag quantity and pack-size mismatches, and prepare reorder worksheets using staff-set thresholds. Staff approve purchases and payments.
- Approved estimate preparation: format dentist-approved treatment plans and authorized fees into review-ready estimates, highlighting missing information and conflicting versions for staff to resolve.
- Educational content and website checks: adapt clinician-approved material into FAQ, social, email, and video-outline drafts. Flag outdated public details and unsupported claims for review before publishing.

- Clinic administration and staff review
Clinic staff approve communications, scheduling changes, estimates, purchases, and public content. Diagnosis and treatment decisions remain with dental professionals.
In their words
“Appointment messages, reminders, and schedule changes may seem like small jobs, but they add up. Srithan from VenoxAI helped us cut down the time spent handling them manually. We estimate the savings at around 20 staff hours a month, which makes a welcome difference to our workload. We’re glad we made the investment, and we’d happily recommend Srithan to other clinic owners.”
