The project
Implemented as a student project, these AI-assisted workflows support the administrative work behind Sewa South Jersey’s community service. The project covers volunteer coordination, service-hour review, event planning, fundraising follow-ups, chapter updates, and program scheduling.
After around two months of use, Sewa reports saving approximately 20 staff hours per month. The chapter describes having more time to support volunteers, organize community programs, and focus on the people it serves.
Our approach
Make the next step easier to organize
Approved registrations and event requirements help organize roster suggestions, missing details, and reminder drafts. Coordinators approve volunteer assignments and messages through the chapter’s existing channels.
Keep service hours traceable
Compare submitted logs with organizer-confirmed attendance and event records. Flag duplicates, missing times, and overlapping entries for review, with each total linked to its supporting records and approved by a coordinator.
Give organizers more time for service
The chapter’s feedback describes less repetitive administrative work and more time for volunteers, community programs, and Sewa’s mission. Staff remain involved in reviewing records and making decisions.
AI workflows for chapter operations
The project brings AI-assisted organization, review, and drafting to six areas of chapter administration, with coordinators retaining control over assignments, records, communications, and commitments.
Workflow areas
- Volunteer coordination: organize approved registrations, availability, and event roles; flag gaps and prepare roster suggestions and reminder drafts for coordinator approval.
- Service-hour reconciliation: compare volunteer logs with confirmed attendance, flag discrepancies, and prepare review tables and approved totals without inventing or automatically awarding hours.
- Event planning and partner follow-ups: turn approved briefs into draft task lists, supply checklists, and follow-up queues, with leaders approving commitments and arrangements.
- Donor and sponsor administration: prepare acknowledgment drafts and matching-gift checklists from authorized records, keeping pledged, received, and pending amounts separate.
- Chapter reports and communications: turn verified event summaries into report, newsletter, and caption drafts, with figures linked to records and publication approved by the chapter.
- Tutoring and camp scheduling: compare approved availability, flag conflicts, and draft scheduling messages during an active program, with adult coordinators approving assignments and guardian communication.
